Based on the discussions and opinion with consensus in the workshop on Dec16-18, at Tokyo, the Steering Group updated the due date of the White Paper submissions. Further coordination and cooperation among the proposal teams is strongly encouraged utilizing this period.
There was a request from the participants to prepare the communication/knowledge tool for the coordination among the teams. It will be announced here when it is ready.
JAXA and NASA have agreed on Japanese participation as an international partner to the Nancy Grace Roman Space Telescope mission project. One of the key areas of the collaboration is conducting Subaru-Roman Synergistic Observations, in cooperation with Subaru Telescope and the National Astronomical Observatory of Japan.
Subaru-Roman Synergistic observations will bring great scientific benefits in astronomy since both facilities have complementary powerful wide-field and high-contrast capabilities. While both facilities are very powerful by themselves, the combination of the complementary data should bring new insights. Based on the support of the Subaru science community, Subaru Telescope is ready to reserve 100 nights during or reasonably after the Roman nominal mission period of 5.3 years after the launch.
The coordination of the program for the 100 nights is led by a Steering Group who are designated by the JAXA and NASA Roman science leads. We expect the100 nights will not be filled by many small programs that can be conducted by the Normal Programs of Subaru Open Use but assigned for a few large programs along the Themes identified by the Steering Group using community White Papers as input.
In order to identify the selected Themes of the Synergistic Observations of the 100 nights, the Steering Group calls for White Papers from the Roman and Subaru science communities. The submitted White Papers will be carefully reviewed by the Steering Group with the help of external experts. Based on the submitted White Papers and the review results, the Steering Group will identify and announce the selected Themes.
Development of the teams who may conduct the selected program is also one of the purposes of calling for the White Papers. Although any individual scientist who satisfies the condition (see Sec. 4.2) can submit White Papers, the Steering Group strongly recommends coordination among Japanese and US researchers to maximize the science outputs for the community. Submitting a White Paper does not commit the authors to conducting the program if that Theme is selected. A future process will determine who conducts the observations and produces relevant data products.
After the Themes are selected, the Steering Group will call for Proposals for the selected Themes for the 100 nights.
In developing the White Papers, it will be useful to share the ideas and possible plans for getting deeper thoughts and coordination of the related programs. For the purpose, we will have a workshop in December 2024. It will be the 6 th workshop in this series.
The Steering Group also expects that the team coordination for developing White Papers can be encouraged or accelerated through the Workshop.

This will be aimed at members of the coordinated teams in Roman and Subaru science communities, including NASA Roman Science Teams [WFS, PIT, CPP], JAXA Roman science teams. Coordinated proposals form the Roman and Subaru communities are greatly encouraged. People who are not members of any Roman science team can submit proposals for presentations, but they are encouraged to coordinate with members of the existing Roman/Subaru community.
Submission of the short presentation slides is not mandatory for contributing for the talks in the Workshop or for submission of White Papers. However, it is highly recommended to put topics in the discussion area in the Workshop.
Primary authors of the White Papers can be from the Roman or Subaru communities and are strongly encouraged to coordinate with people from the following groups:
(i) Members of the NASA Roman Science Teams [WFS, PIT], CPP, the Roman Project, or JAXA Roman science teams.
(ii) Japanese researchers following the same eligibility as in the Subaru Open Use Policy, namely, either researchers of Japanese nationality or those belonging to Japanese institutes.
